How we collect, use and protect the information you share with us.

1. Who we are

DesignDotIT (“we”, “us”, “our”) is a founder-led digital product studio based in Japan, working remotely. This policy explains what information we collect through designdotit.com and its enquiry form, why we collect it, and the choices you have. 2. Information collected through the enquiry form

When you submit the contact form, we collect:

  • Your name
  • Your email address
  • Your company name (optional)
  • The service you’re interested in (optional)
  • Your indicated budget range (optional)
  • The project details you write in the message field

We do not require an account, payment details, or any government identification to submit an enquiry.

3. Purpose of collection

We use the information you submit only to:

  • Respond to your enquiry and discuss your project
  • Send you a confirmation that we received your message
  • Keep an internal record of enquiries so our team can follow up

We do not sell, rent, or use enquiry-form information for unrelated marketing purposes.

4. Legal basis for processing

Where the UK/EU GDPR applies to you, we process contact-form information on the basis of:

  • Consent — by submitting the form, you consent to us using your details to respond to your enquiry.
  • Legitimate interests — responding to business enquiries and maintaining a record of client communications is a legitimate interest of a service business, and is not overridden by your rights and interests.
  • Contract — if your enquiry leads to a project, we process related information as necessary to perform that contract.

5. Data retention

Enquiry-form submissions are retained for as long as reasonably necessary to respond to your enquiry and, if a project follows, for the duration of our working relationship plus a period afterward to meet accounting, tax and legal obligations. Enquiries that do not lead to a project are periodically reviewed and deleted when no longer needed.

6. Service providers

We use third-party service providers to operate the website and deliver enquiry responses. These providers process information on our behalf and are contractually restricted from using it for their own purposes:

  • Hosting & infrastructure — our website and database are hosted with cloud infrastructure providers who store the underlying data.
  • Email delivery — enquiry notifications and confirmation emails are sent through a transactional email provider.
  • Payments — where a project involves an online payment, that payment is processed by a third-party payment processor; we do not store your card details ourselves.

7. International processing

We are a founder-led, remote studio serving clients worldwide, and our service providers may process and store information in countries other than your own, including outside the UK/European Economic Area. Where this occurs, we rely on our providers’ standard contractual safeguards for international data transfers.

8. Analytics and cookies

The website may use Google Analytics, where enabled, to understand aggregate visitor behaviour (such as which pages are viewed and how visitors found the site). See our Cookie Policy for full details of what is used and how to control it.

9. Your rights

Depending on where you live, you may have the right to request access to, correction of, or deletion of your personal information, to object to or restrict certain processing, and to request a copy of your data in a portable format. To exercise any of these rights, contact us at hello@designdotit.com and we will respond within a reasonable time. If you are in the EU/UK, you also have the right to lodge a complaint with your local data protection authority.
